AI Support Implementation & Optimization

AI-powered customer support that answers repetitive questions using approved knowledge and escalates complex issues to your team.

Illustrative workflow
  1. Customer question
  2. Retrieve approved knowledge
  3. Grounded response
  4. Escalate when needed

People, permissions and review rules stay part of the design.

Built for B2B software support teams.

Small B2B SaaS companies and software businesses with repetitive customer support questions.

  • Repeated product questions consume support time.
  • Answers become inconsistent as documentation changes.
  • Escalations arrive without the context your team needs.

How the solution works.

We implement a support assistant around an agreed set of questions. It retrieves relevant information from approved sources, generates a response grounded in that information, and hands uncertain or sensitive issues to a person. Eligible automation and human review rules are defined together before launch.

Product guidance

Help customers find an answer in approved setup instructions and product documentation.

Repeat support enquiries

Handle eligible questions about documented product behavior, with a clear route to your team.

Contextual escalation

Pass along the question, relevant sources, missing information and reason for review.

What implementation includes.

The proposal defines which deliverables are included, the system boundaries and acceptance criteria.

  • Support workflow assessment and agreed question scope
  • AI assistant implementation and knowledge ingestion
  • Retrieval and grounded response generation
  • Response guardrails, uncertainty handling and human handoff
  • Agreed channel integrations
  • Quality evaluation, failure testing and acceptance checks
  • Deployment, team onboarding and documentation
  • Measurement plan and optional managed optimization

Integrate with clear boundaries.

We assess your helpdesk, support channels, knowledge sources and available APIs before committing to an integration. Permissions, plan restrictions and vendor capabilities affect scope. No particular helpdesk integration is assumed to be available out of the box.

What your team provides

  • A workflow owner and support team contact
  • Approved help content and examples of real questions, with private data removed where appropriate
  • Access to agreed systems, escalation destinations and test environments
  • Decisions about eligible answers, sensitive requests and acceptance criteria

An answer when evidence supports it. A handoff when it doesn't.

This fictional example shows response boundaries, not a live product deployment.

Illustrative walkthrough · fictional questions and knowledge, not a live deployment

  1. Customer question

How can I invite a teammate?

  2. Approved knowledge retrieval

Example approved help article: Workspace owners can invite teammates from Settings → Team.

  3. Grounded response

If you are a workspace owner, open Settings, select Team and choose Invite teammate.

Answer grounded in the approved article. A source link can accompany the response.

Discuss a Support Walkthrough

Agree the scope. Test the whole workflow.

  1. Discover

Understand the problem, current workflow, source material and people responsible.

  2. Design

Agree scope, architecture, integration access, safeguards and success criteria.

  3. Implement

Build and integrate the solution. Test normal paths, exceptions and AI response quality.

  4. Launch

Deploy, document and onboard your team with clear ownership and acceptance checks.

  5. Optimize

Where contracted, monitor outcomes, update knowledge and improve reliability.

Explore responsibilities, testing and launch

Define success before launch.

Select useful measures and a baseline together. These are potential outcomes to evaluate, not guaranteed improvements.

  • Initial response time
  • Eligible automated resolution rate
  • Support handling effort
  • Answer accuracy and escalation quality
  • Customer satisfaction, where measurable

Indicative pricing and delivery expectations.

Founding-client implementation
$2,500
Approximate one-time fee for a defined scope
Standard implementation
$3,500–$7,500
Indicative one-time implementation range
Optional managed optimization
$500–$750/month
Recurring fee for an agreed post-launch scope

Indicative prices in USD. Your proposal confirms scope, integrations, requirements and agreed deliverables. Third-party software, hosting and usage charges are identified separately.

Delivery is agreed after scope, system access and prerequisites are confirmed. A narrowly scoped implementation may target approximately ten business days; this is not a universal guarantee.

An AI Readiness Review can help define feasibility. It is optional; you can enquire about implementation directly.

Questions before you commit.

Will this replace our support team?

The implementation handles an agreed set of repetitive questions and supports your people. Complex issues, exceptions and sensitive requests follow a defined human handoff.

Can it work with our existing helpdesk?

We first review the helpdesk's APIs, permissions and plan limitations. Where integration is feasible, it is included in the agreed scope; otherwise we discuss a suitable alternative before you commit.

How do we keep answers accurate?

Use approved sources, define answer boundaries, test against representative questions and review failures. Knowledge changes and ongoing evaluations help maintain response quality. AI answers can still be wrong, so safeguards and oversight remain necessary.

What happens when the AI cannot answer?

It should make uncertainty clear and escalate with useful context rather than inventing an answer. The routing destination and review rules are designed with your team.

How is sensitive information handled?

We assess what data is needed, provider processing terms, access permissions and retention requirements during design. We agree controls appropriate to your environment; no blanket compliance certification or privacy guarantee is implied.

What will implementation cost?

A defined founding-client implementation is approximately $2,500. Standard implementations are typically $3,500–$7,500. Integration complexity, knowledge readiness and requirements determine the proposal.

What happens after launch?

You receive documentation, onboarding and agreed ownership. Optional managed optimization is approximately $500–$750 per month for an agreed scope of monitoring, evaluation, knowledge updates and improvements.
