Make client operations run without constant manual chasing.

AI Client Operations Automation

Automate repetitive client operations while keeping your existing systems and people in control.

Illustrative workflow
  1. Client enquiry
  2. Intake and qualification
  3. Onboarding and approvals
  4. Project handoff

People, permissions and review rules stay part of the design.

Built for teams delivering client work.

B2B agencies, consultancies, professional services businesses and teams with repetitive client administration.

  • Client information is collected repeatedly across tools.
  • Missing documents and approvals require constant follow-up.
  • Sales and delivery teams lose context at handoff.

How the solution works.

We connect a defined client journey across your existing systems. Rules handle predictable steps; AI can help interpret information or prepare administrative work. Approvals, exceptions and consequential actions stay within boundaries your team controls.

Client intake to onboarding

Collect and qualify an enquiry, create the agreed record, request missing documents and prepare onboarding for approval.

Approvals to project handoff

Route decisions to the right owner and assemble a documented handoff once prerequisites are complete.

Operational follow-up

Track missing information and send approved reminders, stopping or escalating when a person intervenes.

What implementation includes.

The proposal defines which deliverables are included, the system boundaries and acceptance criteria.

  • End-to-end workflow assessment and ownership map
  • Intake, qualification and onboarding configuration
  • Document collection and follow-up rules
  • Agreed CRM and application synchronization
  • Approval steps and exception handling
  • AI-assisted administrative and operational knowledge capabilities where useful
  • Functional testing, deployment and team handover
  • Maintenance and optimization scope, if required

Integrate with clear boundaries.

We review your forms, CRM, document storage and project tools as one connected workflow. API availability, data consistency and permissions determine what can be synchronized. Vendor subscriptions and custom connectors are scoped explicitly.

What your team provides

  • A workflow owner and clear approval responsibilities
  • Existing templates, qualification rules and onboarding steps
  • Access to the agreed CRM, forms and delivery systems
  • Examples of normal cases, exceptions and stop conditions

Agree the scope. Test the whole workflow.

  1. Discover

Understand the problem, current workflow, source material and people responsible.

  2. Design

Agree scope, architecture, integration access, safeguards and success criteria.

  3. Implement

Build and integrate the solution. Test normal paths, exceptions and AI response quality.

  4. Launch

Deploy, document and onboard your team with clear ownership and acceptance checks.

  5. Optimize

Where contracted, monitor outcomes, update knowledge and improve reliability.

Explore responsibilities, testing and launch

Define success before launch.

Select useful measures and a baseline together. These are potential outcomes to evaluate, not guaranteed improvements.

  • Time spent on manual client administration
  • Intake and onboarding completion
  • Missing-information follow-up
  • Approval and handoff quality

Indicative pricing and delivery expectations.

Indicative one-time implementation range

Indicative prices in USD. Your proposal confirms scope, integrations, requirements and agreed deliverables. Third-party software, hosting and usage charges are identified separately.

Delivery is agreed after scope, system access and prerequisites are confirmed. A narrowly scoped implementation may target approximately ten business days; this is not a universal guarantee.

Ongoing maintenance and optimization are scoped separately.

An AI Readiness Review can help define feasibility. It is optional; you can enquire about implementation directly.

Questions before you commit.

Do we need to replace our existing systems?

We start with the systems you already use and assess feasible connections. Replacement is discussed only when an existing limitation prevents the agreed workflow.

Can people approve actions before they happen?

Yes. We design review steps for consequential actions and specify who approves, what information they see and what happens if approval is delayed or declined.

What happens when a workflow fails?

We define exception routes, retries where safe and human notifications. A workflow should surface missing information or integration failures instead of silently continuing.

Is sales follow-up included?

It can be part of a connected intake and client operations workflow when relevant. Message rules, stop conditions and human ownership are agreed in scope.

How much does implementation cost?

A defined founding-client implementation is approximately $2,500; standard implementations are typically $3,500–$7,500. Ongoing maintenance is scoped separately.

What if our processes change?

The handover documents the workflow and ownership. Changes can be handled through an agreed maintenance engagement or separately scoped work.
